Please read these Terms and Conditions carefully before using our services. By making a booking with Orbit Travel Solutions, you agree to be bound by the terms set out below.
Definitions
In these Terms and Conditions, the following definitions apply:
"Company" refers to Orbit Travel Solutions, reachable at [email protected].
"Client" refers to any individual, business or organisation that makes a booking or enquiry with the Company.
"Chauffeur" refers to the licensed, professional driver assigned to fulfil a booking.
"Journey" refers to any transfer, hire, tour or event service booked through the Company.
"Vehicle" refers to any car, minibus or other transport provided by the Company as part of a booking.
Bookings & Confirmation
All bookings are subject to availability and are only confirmed once the Client has received written confirmation from Orbit Travel Solutions via email.
The Client is responsible for providing accurate journey details at the time of booking, including — but not limited to — pick-up address, destination, date, time, number of passengers and any special requirements.
Orbit Travel Solutions reserves the right to decline any booking request at its discretion, without obligation to provide a reason.
Any amendments to a confirmed booking must be requested in writing and are subject to availability. The Company will make every reasonable effort to accommodate changes but cannot guarantee that amendments will always be possible.
Pricing & Payment
All prices quoted by Orbit Travel Solutions are inclusive of VAT where applicable. The price quoted at the time of booking is the price the Client will pay — we do not apply surge pricing or hidden fees.
Payment is due at the time of booking unless a corporate account arrangement has been agreed in writing. Accepted payment methods include major credit and debit cards, bank transfer and corporate invoice.
For corporate account clients, invoices are due within 14 days of the date of issue unless otherwise agreed in writing. The Company reserves the right to charge interest on overdue invoices in accordance with applicable legislation.
Waiting time, parking charges or additional stops not included in the original booking may be chargeable and will be communicated to the Client in advance where possible.
Cancellations & Refunds
Cancellations must be made in writing to [email protected]. The following cancellation policy applies:
— Cancellations made more than 24 hours before the scheduled journey: no charge. — Cancellations made within 24 hours of the scheduled journey: up to 100% of the booking value may be charged. — No-shows (where the Client fails to appear at the agreed pick-up point without prior notice): the full booking value will be charged.
For major events (including but not limited to Royal Ascot, Wimbledon, Cheltenham Festival and the British Grand Prix), separate cancellation terms may apply due to the nature of advance bookings. These will be communicated at the time of booking.
Refunds, where applicable, will be processed within 10 working days to the original payment method.
Client Responsibilities
The Client is responsible for ensuring that all passengers are ready at the agreed pick-up location at the confirmed time. Whilst our chauffeurs will always endeavour to wait, excessive delays may result in additional waiting charges.
The Client is responsible for the behaviour of all passengers travelling in the vehicle. Any damage caused to the vehicle by the Client or their passengers — including but not limited to spillages, soiling or breakage — will be charged to the Client at cost of repair or valeting.
Smoking, vaping and the consumption of alcohol are not permitted in any of our vehicles unless expressly agreed in advance.
The Client must inform the Company of any special requirements — including child seats, wheelchair accessibility or specific luggage needs — at the time of booking. Whilst we will endeavour to accommodate all requests, we cannot guarantee fulfilment of requirements not communicated in advance.
Chauffeur & Vehicle
Orbit Travel Solutions reserves the right to substitute a vehicle of equivalent or superior specification where necessary due to operational requirements. The Client will be notified of any such change as soon as reasonably practicable.
In the event that a chauffeur is unable to fulfil a booking due to unforeseen circumstances, the Company will make every reasonable effort to provide a suitable replacement. Where this is not possible, the Client will be notified promptly and a full refund will be issued.
Our chauffeurs are fully licensed, DBS-checked and trained to a professional standard. They are authorised to refuse or terminate a journey if a passenger's behaviour is deemed unsafe, threatening or in breach of these Terms.
Airport Transfers
For airport pick-ups, Orbit Travel Solutions monitors all incoming flights in real time. In the event of a flight delay, the chauffeur's arrival time will be adjusted accordingly at no additional charge to the Client.
A standard waiting time of 60 minutes is included from the actual landing time for international flights, and 45 minutes for domestic flights. Waiting time beyond this allowance may be subject to an additional charge.
The Client is responsible for providing the correct flight number and arrival terminal at the time of booking. The Company cannot be held liable for any delays or additional costs arising from incorrect information provided by the Client.
Liability
Orbit Travel Solutions will not be held liable for any delay, loss or inconvenience caused by circumstances beyond our reasonable control, including — but not limited to — severe weather, road closures, traffic incidents, mechanical failure or other force majeure events.
In all cases, our liability to the Client shall not exceed the total value of the booking in question.
The Company carries full public liability and motor insurance as required by UK law. Clients are advised to ensure they hold appropriate personal travel insurance for their journeys.
Orbit Travel Solutions is not responsible for any items left in our vehicles. Any lost property found will be held for a reasonable period; however, we are under no obligation to return items and cannot be held liable for loss or damage.
Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If any provision of these Terms is found to be unenforceable or invalid under applicable law, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will continue in full force and effect.
Changes to These Terms
Orbit Travel Solutions reserves the right to update or amend these Terms and Conditions at any time. Any changes will take effect immediately upon publication on our website. Continued use of our services following any such changes constitutes acceptance of the revised Terms.
